2. Hvilke oplysninger behandler vi?Vi behandler de oplysninger, der er n\u00f8dvendige og relevante for samarbejdet med barnet og familien. Det kan blandt andet v\u00e6re: Navn og kontaktoplysninger p\u00e5 barnet og familien. Oplysninger om barnets udvikling, trivsel, l\u00e6ring og eventuelle diagnoser. Oplysninger fra samtaler, observationer og faglige vurderinger.Tr\u00e6ningsprogrammer, m\u00e5l, registreringer og evalueringer.Relevante billeder og videoer, som familien v\u00e6lger at dele.Journalnotater og anden faglig dokumentation. Oplysninger om aftaler, fakturering og betaling.
KlinikNord indsamler ikke CPR-numre.
Oplysningerne kommer som udgangspunkt fra familien selv. Vi kan ogs\u00e5 modtage relevante oplysninger fra andre fagpersoner, n\u00e5r der er et gyldigt retligt grundlag.
3. Hvad bruger vi oplysningerne til?Vi bruger oplysningerne til at besvare henvendelser, planl\u00e6gge aftaler, forst\u00e5 barnets og familiens behov samt tilrettel\u00e6gge r\u00e5dgivning, observation, hjemmetr\u00e6ning og supervision.Oplysningerne anvendes ogs\u00e5 til at udarbejde individuelle tr\u00e6ningsprogrammer, f\u00f8lge barnets udvikling, evaluere indsatsen, f\u00f8re journal, udarbejde statusrapporter og administrere betaling.Almindelige personoplysninger behandles, n\u00e5r det eksempelvis er n\u00f8dvendigt for at indg\u00e5 eller opfylde en aftale, overholde en retlig forpligtelse eller varetage en berettiget interesse, hvor betingelserne er opfyldt, jf. GDPR artikel 6, stk. 1, litra b, c eller f.F\u00f8lsomme oplysninger, herunder helbredsoplysninger, behandles kun, n\u00e5r der desuden er et gyldigt grundlag efter GDPR artikel 9 og relevant dansk lovgivning. Det konkrete grundlag afh\u00e6nger af ydelsen og form\u00e5let.
4. N\u00e5r I kontakter os f\u00f8rste gang
N\u00e5r en familie kontakter KlinikNord, kan vi tage korte noter for at forst\u00e5 familiens situation og vurdere, hvordan vi bedst kan hj\u00e6lpe.Hvis familien ikke starter et forl\u00f8b, sletter vi noterne inden for \u00e9n m\u00e5ned.Eventuel e-mailkorrespondance og andre administrative oplysninger slettes, n\u00e5r de ikke l\u00e6ngere er n\u00f8dvendige, medmindre der er en lovlig grund til l\u00e6ngere opbevaring.
5. Journalf\u00f8ring og faglig dokumentation
KlinikNord er registreret som behandlingssted under sundhedsv\u00e6senet.Vi f\u00f8rer journal, n\u00e5r det er p\u00e5kr\u00e6vet efter de regler, der g\u00e6lder for vores aktiviteter. I andre forl\u00f8b dokumenterer vi relevante oplysninger om r\u00e5dgivning, tr\u00e6ning og supervision.Journalnotater og faglig dokumentation opbevares digitalt p\u00e5 klinikkens computer eller i de systemer, vi anvender til journalf\u00f8ring.Vi beskytter oplysningerne gennem adgangsbegr\u00e6nsning og relevante tekniske og organisatoriske sikkerhedsforanstaltninger.Journalmateriale opbevares efter de g\u00e6ldende lovpligtige opbevaringsregler.
6. Brug af AI til journalf\u00f8ring
KlinikNord anvender AI-assistenten i Terapeut Booking som hj\u00e6lp til journalf\u00f8ring.Vi kan bruge AI-assistenten p\u00e5 to m\u00e5der:Under samtaler: AI-assistenten kan omdanne samtalen til tekst og hj\u00e6lpe med at udarbejde et journalnotat.Efter samtaler og observationer: Vi kan anvende AI-assistenten til at strukturere og formulere journalnotater p\u00e5 baggrund af vores egne stikord og observationer.N\u00e5r AI-assistenten anvendes til transskription, behandles lyden i realtid. If\u00f8lge Terapeut Booking opbevares selve lyden ikke efter transskriptionen.Transskriptioner opbevares midlertidigt og slettes efter den sletteperiode, der er indstillet i systemet.AI-assistenten udarbejder alene udkast. Vi gennemg\u00e5r og godkender altid det endelige journalnotat. AI tr\u00e6ffer ikke selvst\u00e6ndige beslutninger om barnets behandling, r\u00e5dgivning eller tr\u00e6ningsforl\u00f8b.If\u00f8lge Terapeut Booking anvendes klientoplysninger ikke til at tr\u00e6ne eller finjustere AI-modeller.Klient- og journaldata opbevares if\u00f8lge leverand\u00f8ren i Danmark, mens AI-transskription og udarbejdelse af journaludkast foreg\u00e5r i EU. Der kan forekomme begr\u00e6nset adgang til eller overf\u00f8rsel af oplysninger til USA i forbindelse med eksempelvis support, overv\u00e5gning og vedligeholdelse. S\u00e5danne overf\u00f8rsler skal ske p\u00e5 et gyldigt overf\u00f8rselsgrundlag.Vi informerer familien, n\u00e5r AI-assistenten anvendes til transskription af samtaler. Familien kan frav\u00e6lge denne anvendelse, og vi kan i stedet tage notater uden transskription.Godkendte journalnotater opbevares efter de relevante regler om journalf\u00f8ring og dokumentation.
7. Billeder og videoer i Signal
I nogle forl\u00f8b anvender vi billeder og korte videoer som en del af observation, hjemmetr\u00e6ning og supervision.Familien kan selv oprette en privat gruppe i Signal og invitere KlinikNord til at deltage. Familien administrerer gruppen og v\u00e6lger selv, hvilke billeder og videoer den \u00f8nsker at dele.Materialet kan eksempelvis bruges til at observere barnets kommunikation, udvikling og samspil, give familien faglig feedback, evaluere tr\u00e6ningsm\u00e5l og tilpasse \u00f8velser.Familien er ansvarlig for sine egne private optagelser og kopier. KlinikNord er ansvarlig for sin egen behandling af det materiale, vi modtager.N\u00e5r et forl\u00f8b afsluttes, forlader KlinikNord Signal-gruppen og sletter samtalehistorik, billeder, videoer og eventuelle kopier fra klinikkens egne enheder.Hvis noget af materialet skal bevares som lovpligtigt journalmateriale, f\u00f8lger vi de relevante opbevaringsregler.Vi anvender ikke billeder eller videoer til markedsf\u00f8ring, offentligg\u00f8relse, undervisning eller forskning uden en s\u00e6rskilt aftale og et gyldigt retligt grundlag.
8. Tavshedspligt og fortrolighedHos KlinikNord behandler vi oplysninger om b\u00f8rn, unge og deres familier fortroligt.Vi videregiver ikke oplysninger til uvedkommende. Oplysninger deles kun, n\u00e5r der er et gyldigt retligt grundlag, og g\u00e6ldende regler om tavshedspligt og databeskyttelse overholdes.Vi begr\u00e6nser adgangen til personoplysninger og anvender relevante sikkerhedsforanstaltninger for at beskytte oplysningerne mod uvedkommendes adgang, tab og misbrug.
9. Statusrapporter og samarbejde med kommunenI forbindelse med hjemmetr\u00e6ning kan KlinikNord efter aftale med familien udarbejde statusrapporter, evalueringer og faglige udtalelser.Rapporterne kan eksempelvis anvendes ved kommunens opf\u00f8lgning p\u00e5 et hjemmetr\u00e6ningsforl\u00f8b.KlinikNord sender ikke rutinem\u00e6ssigt oplysninger direkte til kommunen. Hvis oplysninger skal deles med kommunen, PPR, skole eller andre eksterne parter, sker det p\u00e5 et gyldigt retligt grundlag og under hensyn til g\u00e6ldende regler om tavshedspligt.En statusrapport giver ikke automatisk kommunen adgang til familiens videoer eller \u00f8vrige materiale.
10. Betaling og fakturering
KlinikNord anvender Dinero til fakturering og regnskab.Betaling kan ske via MobilePay, FI-indbetalingskort eller bankoverf\u00f8rsel.I forbindelse med betaling behandler vi relevante oplysninger s\u00e5som navn, fakturanummer, betalingsbel\u00f8b, betalingsdato og n\u00f8dvendige betalingsoplysninger.Vores bank, betalingsformidlere og regnskabssystem kan behandle oplysninger, n\u00e5r det er n\u00f8dvendigt for at gennemf\u00f8re betaling og overholde g\u00e6ldende lovgivning.Vi tilstr\u00e6ber, at betalingsreferencer og fakturatekster ikke indeholder un\u00f8dvendige oplysninger om diagnoser eller andre f\u00f8lsomme forhold.Regnskabsmateriale opbevares som udgangspunkt i fem \u00e5r efter udl\u00f8bet af det relevante regnskabs\u00e5r.
11. Hvilke digitale systemer bruger vi?KlinikNord anvender f\u00f8lgende tjenester:Terapeut Booking: Tidsbestilling, administration og AI-underst\u00f8ttet journalf\u00f8ring.Dinero: Fakturering og regnskab.Microsoft Outlook: E-mailkommunikation.Signal: Udveksling af beskeder, billeder og videoer.MobilePay og bank: Betalingsh\u00e5ndtering.WordPress og Elementor: Drift af hjemmesiden.Leverand\u00f8rerne kan afh\u00e6ngigt af deres konkrete rolle behandle oplysninger p\u00e5 vegne af KlinikNord eller som selvst\u00e6ndigt dataansvarlige.Hvor leverand\u00f8rer behandler personoplysninger p\u00e5 vores vegne, skal behandlingen v\u00e6re omfattet af de n\u00f8dvendige databehandleraftaler.Personoplysninger kan i visse tilf\u00e6lde blive behandlet uden for EU\/E\u00d8S. Hvor dette sker, skal der v\u00e6re et gyldigt overf\u00f8rselsgrundlag og passende beskyttelse af oplysningerne.
12. Selvst\u00e6ndige psykologer
KlinikNord kan samarbejder med selvst\u00e6ndige psykologer, som har deres egne klientforl\u00f8b og separate journalsystemer.Psykologerne er som udgangspunkt selvst\u00e6ndigt dataansvarlige for deres egne klientoplysninger og journaler.KlinikNord har ikke adgang til psykologernes journaler. Oplysninger udveksles ikke automatisk mellem KlinikNord og de selvst\u00e6ndige psykologer. Psykologerne informerer selv deres klienter om deres behandling af personoplysninger.
13. Hvor l\u00e6nge opbevarer vi oplysninger?
Vi opbevarer oplysninger, s\u00e5 l\u00e6nge de er n\u00f8dvendige for det form\u00e5l, de er indsamlet til, eller s\u00e5 l\u00e6nge lovgivningen kr\u00e6ver det.Indledende noter: Slettes inden for \u00e9n m\u00e5ned, hvis familien ikke starter et forl\u00f8b.Journalmateriale: Opbevares efter g\u00e6ldende journalf\u00f8ringsregler og lovpligtige opbevaringsperioder.AI-transskriptioner: Slettes efter den opbevaringsperiode, der er valgt i Terapeut Booking. Godkendte journalnotater f\u00f8lger de almindelige regler for journalopbevaring.Billeder og videoer: Slettes fra KlinikNords Signal og egne enheder, n\u00e5r forl\u00f8bet afsluttes, medmindre materialet skal bevares som journalmateriale.Regnskabsmateriale: Opbevares som udgangspunkt i fem \u00e5r efter udl\u00f8bet af det relevante regnskabs\u00e5r.Andre administrative oplysninger slettes, n\u00e5r de ikke l\u00e6ngere er n\u00f8dvendige, medmindre der er en lovlig grund til l\u00e6ngere opbevaring.
14. Hjemmeside og cookiesKlinikNord.dk anvender ikke cookies.N\u00e5r I \u00f8nsker at booke en tid, bliver I videresendt til Terapeut Bookings hjemmeside, hvor deres egne regler om cookies og databeskyttelse g\u00e6lder.KlinikNords behandling af personoplysninger i forbindelse med booking, journalf\u00f8ring, AI og fakturering er beskrevet i de \u00f8vrige afsnit af denne privatlivspolitik.15. Samtykke og barnets rettighederVi tager hensyn til barnets alder, modenhed og de g\u00e6ldende regler om for\u00e6ldremyndighed og samtykke.Vi \u00f8nsker, at b\u00f8rn og unge s\u00e5 vidt muligt bliver inddraget i beslutninger om deres eget forl\u00f8b p\u00e5 en m\u00e5de, der passer til deres alder og forst\u00e5else.N\u00e5r behandling af personoplysninger bygger p\u00e5 samtykke, kan samtykket tr\u00e6kkes tilbage med virkning for fremtiden.Tilbagetr\u00e6kning betyder ikke n\u00f8dvendigvis, at oplysninger, som vi er lovm\u00e6ssigt forpligtede til at opbevare, kan slettes.

At KlinikNord, we take the protection of your personal information seriously. When you contact us or begin working with us, we need certain information to understand your situation, plan appropriate support and monitor your child’s development.We only collect information relevant to our work and treat it confidentially.This policy explains what personal information we process, why we use it, how we protect it and what rights you have.
1. Who is responsible for your personal information?

2. What information do we collect?We process information that is necessary and relevant to our work with children and their families. This may include:Names and contact details of children and family members.Information about a child’s development, wellbeing, learning and any diagnoses.Information from consultations, observations and professional assessments.Individual training programmes, goals, progress records and evaluations.Relevant photographs and videos shared by families.Clinical records and other professional documentation.Appointment, invoicing and payment information.KlinikNord does not collect Danish civil registration (CPR) numbers.Information is generally provided directly by the family. We may also receive relevant information from other professionals where there is a valid legal basis for doing so.
3. Why do we process personal information?
We use personal information to respond to enquiries, arrange appointments, understand the needs of children and families, and provide consultations, observations, home-based training and professional supervision.We also use information to develop individual programmes, monitor progress, evaluate interventions, maintain records, prepare progress reports and administer payments.We process ordinary personal data where, for example, this is necessary to enter into or fulfil a contract, comply with a legal obligation or pursue a legitimate interest where the relevant conditions are met, under Article 6(1)(b), (c) or (f) of the General Data Protection Regulation (GDPR).Special category data, including health information, is processed only where an additional valid legal basis exists under Article 9 GDPR and applicable Danish legislation. The specific legal basis depends on the service and purpose.
4. When you first contact us
When a family contacts KlinikNord, we may make brief notes to understand their situation and consider how we can help.If the family does not begin a programme with us, these notes are deleted within one month.Email correspondence and other administrative information are deleted when no longer necessary, unless there is a lawful reason to retain them for longer.
5. Clinical records and professional documentation
KlinikNord is registered as a healthcare treatment facility in Denmark.We maintain clinical records where required by the rules applicable to our activities. For other services, we document relevant information about consultations, training and supervision.Clinical notes and professional documentation are stored digitally on the clinic’s computer or in the systems we use for record-keeping.We protect this information through access restrictions and appropriate technical and organisational security measures.Clinical records are retained in accordance with applicable statutory retention requirements.
6. Use of AI in clinical record-keeping
KlinikNord uses the AI assistant provided by Terapeut Booking to support clinical documentation.We may use the AI assistant in two ways:During consultations: The assistant can transcribe a conversation and help prepare a draft clinical note.After consultations and observations: The assistant can help structure and write clinical notes based on our own observations and notes.When the assistant is used for transcription, audio is processed in real time. According to Terapeut Booking, the audio itself is not retained after transcription.Transcripts are stored temporarily and deleted according to the retention period configured in the system.The AI assistant only prepares drafts. We always review and approve the final clinical note. AI does not independently make decisions about a child’s treatment, support or training programme.According to Terapeut Booking, client information is not used to train or fine-tune AI models.The provider states that client and clinical record data are stored in Denmark, while AI transcription and the preparation of draft notes take place within the EU. Limited access to or transfers of information to the United States may occur in connection with support, monitoring or maintenance. Such transfers must have a valid legal basis under the applicable data protection rules.We inform families when AI-assisted transcription is used during consultations. Families may decline this form of transcription, in which case we can take notes without it.Approved clinical notes are retained in accordance with applicable record-keeping requirements.
7. Photographs and videos shared through Signal
In some programmes, we use photographs and short videos as part of observation, home-based training and professional supervision.Families may create a private Signal group and invite KlinikNord to join. The family manages the group and decides which photographs and videos to share.This material may be used to observe a child’s communication, development and interactions, provide professional feedback, evaluate training goals and adjust activities.Families are responsible for their own private recordings and copies. KlinikNord is responsible for its own processing of the material it receives.When a programme ends, KlinikNord leaves the Signal group and deletes the conversation history, photographs, videos and any copies held on the clinic’s own devices.If any material must be retained as part of a legally required clinical record, the applicable retention rules will be followed.We do not use photographs or videos for marketing, publication, teaching or research without a separate agreement and a valid legal basis.
8. Confidentiality and data protection
At KlinikNord, we treat information about children, young people and their families confidentially.We do not disclose information to unauthorised parties. Information is shared only where there is a valid legal basis and applicable confidentiality and data protection requirements are met.We restrict access to personal information and use appropriate security measures to protect it against unauthorised access, loss and misuse.
9. Progress reports and cooperation with local authorities
As part of home-based training, KlinikNord may prepare progress reports, evaluations and professional statements in agreement with the family.These reports may be used, for example, when a Danish municipality reviews a child’s home-training programme.KlinikNord does not routinely send information directly to local authorities.Where information is shared with a municipality, educational psychology service (PPR), school or another external party, this is done on a valid legal basis and in accordance with applicable confidentiality requirements.Providing a progress report does not automatically give the municipality access to the family’s videos or other materials.10. Payments and invoicingKlinikNord uses Dinero for invoicing and accounting.Payments can be made by MobilePay, FI payment slip or bank transfer.For payment processing, we use relevant information such as names, invoice numbers, payment amounts, payment dates and necessary payment details.Our bank, payment service providers and accounting system may process information where necessary to complete payments and comply with legal requirements.We aim to avoid including unnecessary information about diagnoses or other sensitive matters in payment references and invoice descriptions.Accounting records are generally retained for five years after the end of the relevant financial year.11. Which digital services do we use?KlinikNord uses the following services:Terapeut Booking: Appointment scheduling, administration and AI-assisted clinical documentation.Dinero: Invoicing and accounting.Microsoft Outlook: Email communication.Signal: Exchange of messages, photographs and videos.MobilePay and banking services: Payment processing.WordPress and Elementor: Website operation.Depending on their role, these providers may process information on behalf of KlinikNord or act as independent data controllers.Where providers process personal information on our behalf, the necessary data processing agreements must be in place.In certain circumstances, personal information may be processed outside the EU\/EEA. Where this occurs, a valid transfer mechanism and appropriate safeguards must be in place.
12. Independent psychologists
KlinikNord may choose to work with independent psychologists who manage their own clients and maintain separate clinical record systems.These psychologists are generally independent data controllers for their own client information and clinical records.KlinikNord does not have access to the psychologists’ clinical records.Information is not automatically exchanged between KlinikNord and the independent psychologists. Each psychologist is responsible for informing their clients about how their personal information is processed.
13. How long do we retain information?
We retain personal information only for as long as necessary for the purpose for which it was collected, or for as long as required by law.Initial enquiry notes: Deleted within one month if the family does not begin a programme.Clinical records: Retained in accordance with applicable record-keeping requirements and statutory retention periods.AI transcripts: Deleted according to the retention period selected in Terapeut Booking. Approved clinical notes follow the applicable rules for clinical records.Photographs and videos: Deleted from KlinikNord’s Signal account and devices when a programme ends, unless the material must be retained as part of a clinical record.Accounting records: Generally retained for five years after the end of the relevant financial year.Other administrative information is deleted when no longer necessary, unless there is a lawful reason for longer retention.
14. Website and cookies
KlinikNord.dk does not use cookies.When you wish to book an appointment, you are redirected to the Terapeut Booking website, where their own cookie and data protection policies apply.KlinikNord’s processing of personal information in connection with appointments, clinical records, AI and invoicing is explained in the other sections of this policy.
15. Consent and children’s rights
